Managing the question table

Once questions are extracted, choose which columns to show, set word limits and weightings, assign editors and reviewers, and update question statuses.

Once BidBot has extracted your questions, the question table is where you prepare them for drafting — deciding what information to display, filling in word limits and weightings, assigning people, and tracking progress.

Most changes here can be made either to one question at a time, or to many questions at once using bulk edit. Bulk edit is much faster on a large tender pack.

Where to find it

Open your project and go to the Questions tab.

Choose which columns to show

  1. Click Columns above the question table.

  2. Select the columns you want to display.

Status

The current status of the question.

Question

The question itself.

Weighting

The weighting the question carries in the tender, either extracted automatically or entered by you.

Word Limit

The word or character limit for the question, either extracted automatically or entered by you.

Assignees

The colleagues assigned as editors on the question.

Reviewers

The colleagues assigned as reviewers on the question.

Presence

The colleagues currently working in the Answer Workspace editor for that question.

Word limits and weightings

Where they appear in the tender documents, word counts and scoring weightings are extracted automatically and shown beneath the question within its row.

Anything the tender did not state clearly can be added by hand.

Add values to several questions at once

  1. Select the questions you want to update.

  2. Click Bulk Edit.

  3. Enter the weighting and word count values.

  4. Save your changes.

Assign editors and reviewers

Two roles can be assigned to each question.

Assignees

Have editor rights in the Answer Workspace — they write the answer.

Reviewers

Evaluate and approve answers in the Answer Workspace.

The people available here come from the project team, so configure that team first. See Project Dashboard.

Assign one question

Set the assignee and reviewer directly in the question's own row in the table.

Assign several questions at once

  1. Select the questions you want to assign.

  2. Click Bulk Edit.

  3. Choose the assignees and reviewers to apply.

  4. Save your changes.

Question statuses

Each question carries a status showing how far its answer has progressed.

  • Drafting

  • In Review

  • Awaiting Approval

  • Complete

Statuses can be updated from the question list, or from the sidebar in the document editor.

Update one question's status

Open the status dropdown on the question card and choose the new status.

You can only change a question's status if you are an assignee on that question.

Update several statuses at once

  1. Select the questions you want to update.

  2. Click Bulk Edit.

  3. Set the new status.

  4. Save your changes.
