Where your account has more than one Bid Library, you can separate content by line of business, product, service, sector or brand — and then choose which of those BidBot draws on for a given piece of work.
This is the single most important control over answer quality. BidBot grounded in the wrong library produces a fluent, confident, well-evidenced answer about the wrong offering, which is harder to spot than an obviously bad one.
Select your libraries
In the BidBot input bar, click the Libraries button at the bottom.
A dropdown appears listing every library available to you.
Select one or more libraries.
Send your prompt.
BidBot grounds its answer exclusively in the libraries you selected.
Do this before generating a first draft, and change it whenever you move between different services, products or business units.
If no library is selected
BidBot may fall back to using all available libraries, which risks unrelated content appearing in your response, or it may prompt you to choose one before generating.
Either way, select explicitly. Leaving it to a fallback is how content from a different part of the business ends up in a submission.
When to select several
Use more than one library when:
You support distinct products or services with different value propositions.
Business units operate under different compliance, pricing or delivery models.
You want to keep legacy or unrelated content out of responses.
Public and private sector bids need different tone, evidence or policies.
You operate multiple brands, subsidiaries or regions.
Use fewer when:
Content overlaps heavily and could produce conflicting messages.
You need a single consistent narrative for a tightly defined offering.
A worked example
You are responding to a healthcare IT tender.
Select | Healthcare Software – Core Platform |
Do not select | Private Sector Managed Services |
The result is a response aligned to the correct product scope, regulatory environment and buyer expectations, with no managed-services content bleeding in.
Combining libraries deliberately
Pair a core product library with a sector-specific one for tailored responses.
Pair a corporate standards library with delivery-specific content to keep boilerplate consistent.
Create temporary libraries for strategic, high-risk or one-off bids.
Best practice
Select only the libraries relevant to the tender or question in front of you.
Fewer, well-curated libraries produce clearer and more accurate responses than many broad ones.
If answers feel diluted or self-contradictory, reduce the number selected — that is usually the cause.
Review and archive outdated libraries rather than leaving them selectable.
Use clear naming conventions, so the person choosing a library can tell what is in it.
