Inviting Team Members

Invite colleagues to your BidScript workspace from the Organisation page. From here, you can manage who has access to your workspace, assign user roles, and monitor your available team seats.

Note: Only Admins can invite new users or manage organisation settings.

Before You Begin

Admin Access

You must have the Admin role to:

  • Invite new team members

  • Access the Organisation page

  • Manage user roles and team seats

If you cannot see the Organisation page, contact an Admin in your organisation.


Access the Organisation Page

To manage your organisation:

  1. Go to Settings

  2. Select Organisation

From here, you can view your team's members, monitor seat usage, and manage user access.


Understanding Team Seats

The Team Seats section provides an overview of your organisation's licence usage, including:

  • A visual progress bar showing seat usage

  • The number of seats currently in use

  • The total number of seats available

Seat Types

Seats are allocated according to the type of access a user requires.

Core

Provides full access to the BidScript platform.

Best suited for:

  • Bid managers

  • Bid writers

  • Core delivery team members

Knowledge Hub

Provides access to:

  • BidBot as the primary interface

  • Projects the user has been explicitly invited to

Best suited for:

  • Sales teams

  • Commercial teams

  • Business development users

Guests

Guests have limited access and can be assigned as editors or reviewers on specific questions.

Best suited for:

  • Subject matter experts

  • External contributors

  • Occasional reviewers


View Existing Team Members

The Members section lists everyone in your organisation.

For each member, you can view:

  • Name

  • Email address

  • Assigned role

  • Last active date

  • Status

  • Available actions

Member Status

A member can have one of the following statuses:

  • Active — The user has accepted their invitation and can access BidScript.

  • Pending — An invitation has been sent but has not yet been accepted.


Invite a New Team Member

To invite a new user:

  1. Select Invite User.

  2. Enter the user's email address.

  3. Select the appropriate role.

  4. Select Send Invitation.

The user will be added to the Members list with a Pending status.


Managing Seat Capacity

The availability of each role depends on your organisation's licence and remaining seat capacity.

When inviting a user, a role may appear greyed out if all seats of that type are currently allocated.

To make another seat available, you can either:

  • Free up an existing seat by removing a user or changing their role, or

  • Purchase additional seat capacity.


After Sending an Invitation

After an invitation is sent:

  • The user appears in the Members list.

  • Their status is shown as Pending.

  • An activation email is sent to the email address provided.

Tip: If the user does not receive the invitation, ask them to check their spam or junk folder.
