Auto-assigning team members to tasks

BidScript can assign generated pipeline tasks to the right people automatically, based on your team profiles. Learn how matching works and what it currently covers.

BidScript can assign pipeline tasks to the most suitable team members automatically, removing much of the administrative work of allocating a complex bid.

How well it works depends almost entirely on the quality of your team profiles. Those profiles are the matching logic, so it is worth investing in them before you generate your first pipeline.

How matching works

Team profiles must be created in full before auto-assignment can function. They are set up from the Home Dashboard — see Team Member Profiles.

When a pipeline is generated, BidScript analyses the descriptions and labels on each profile and matches them against the tasks in the pipeline. It evaluates each task by type, category and context, then decides whether a person's skills, responsibilities or experience make them a suitable assignee.

What auto-assignment covers

Generated tasks

Assigned automatically. Any task created through Generate Pipeline is included.

Manually created tasks

Not assigned automatically. Custom activities, bespoke actions and late additions all need assigning by hand.

As of December 2025, auto-assignment supports bidding-related tasks only.

If your organisation maintains SME profiles for other disciplines — IT, finance, legal, or technical specialists — BidScript will not currently auto-assign them to drafting or content-related tasks, even where the tender contains questions in those areas.

Assign those people manually, or prompt BidBot to recommend them. This is in active development and will be extended in a future release.

Writing profiles that match well

The accuracy of auto-assignment depends on how your profiles are written.

  • Make profile descriptions clear, specific and focused on what the person actually does.

  • Use labels to surface areas of expertise — capture, commercial, solution design, compliance, scheduling, bid writing.

  • Match the wording to the terminology your organisation uses internally for its bid process.

  • Keep profiles current as roles and responsibilities change.

For example: if a colleague excels at capture-phase activity, say so explicitly in their profile description and add a label such as "Capture Lead". When a pipeline is next generated, BidScript recognises the alignment and assigns them to the capture-related tasks.
