Where the Bid Library stores your documents and reference materials, the Q&A Store is home to your answers - specifically, the written responses, narratives, and reusable content developed within the platform or imported from past work.

Think of the Q&A Store as your central content memory - it’s where your organisation’s experience, expertise, and previously crafted responses are stored, refined, and instantly reusable for future tenders.

When you or your team answer bid questions within the BidScript Workspace, those answers can be saved into the Q&A Store to build an ever-growing, high-quality content repository. This makes future responses faster, more accurate, and more consistent.

In the left-hand navigation panel within the QA Store, you may see multiple libraries, each with its own content. This structure reflects the separate libraries created in the Bid Library and allows you to keep content that shouldn’t be mixed - such as different lines of business, products, or services - organised and distinct.

What “Vectorised” Means (and Why It’s Important)

When your Q&A pairs (or documents) are vectorised, BidScript transforms them into a special format that enables its AI to understand, retrieve, and apply your information intelligently.

Here’s how it works:

  • BidScript analyses your uploaded text.

  • It then converts it into a mathematical representation - a “vector.”

  • These vectors are stored in a knowledge base that allows the platform to find the most contextually relevant content when generating new responses.

2. What if my file has multiple sheets or unusual formatting?

BidScript will detect multiple sheets and prompt you to choose the correct one. For best results, ensure each sheet follows a simple column layout (e.g., Column A = Questions, Column B = Answers).

3. Can I upload Q&A data exported from another software system?

Absolutely. As long as it can export to Excel or CSV, you can upload it directly to the Q&A Store.

4. Why does my upload say “Processing”?

That means BidScript is currently vectorising your data - analysing and preparing it for search and retrieval. You don’t need to take any action; this completes automatically.

5. Can I delete or edit Q&A pairs after uploading?

Yes! You can open any card, make edits, or delete it if it’s outdated or duplicated. All changes are logged for version control.

6. What’s the difference between the Q&A Store and the Bid Library?

The Bid Library holds your reference documents (like policies, procedures, case studies), while the Q&A Store holds your answers. Together, they form the two main knowledge pillars that power BidScript’s drafting and search capabilities.
