Creating and Managing Win Themes

Create Win Themes at personal or team level, set defaults, and write themes that guide drafting rather than reading as marketing copy.

A Win Theme keeps your organisation's key messages, differentiators and strategic priorities consistent across a tender. When applied, BidScript reinforces those messages through the drafted content as emphasis and framing — not as repeated phrases.

This article covers creating and managing themes. For applying one to a question or across a bid, see Creating and assigning Win Themes.

What a Win Theme is

A reusable statement or set of guiding principles reflecting:

  • Your organisation's strengths and differentiators

  • Your strategic priorities and value propositions

  • The outcomes and benefits that matter to the buyer

Win Themes are not slogans or marketing copy. They are directional guidance that shapes emphasis, tone and structure.

The distinction matters when you write one. "We are the market leader in sustainable construction" is a claim BidScript will struggle to use. "Emphasise measurable carbon reduction outcomes and cite verified figures where available" is guidance it can act on in any question.

Personal and team themes

Themes can be created for yourself or for your team. Check the My Themes and Team Themes toggle before creating one, so it lands in the right place.

My Themes

Available to you.

Team Themes

Available across the team.

Create a Win Theme

  1. Go to Templates & Styles → Themes.

  2. Toggle My Themes or Team Themes.

  3. Click Add Win Theme.

  4. Enter a clear theme name, and a description or guidance explaining what it should reinforce.

  5. Save.

The theme is now selectable in the Answer Workspace and at draft generation.

Set a default

Click Set as my default on the card of the theme you want.

A personal default always supersedes a team default. If you have set a team theme and colleagues' drafts are not reflecting it, check whether they have a personal default of their own.

Any Win Theme can still be selected and configured at the draft generation stage, whatever the default.

When to use a Win Theme

Use one when:

  • You want a consistent message reinforced across many questions.

  • The tender emphasises particular outcomes — risk reduction, sustainability, innovation.

  • Several people are drafting in parallel and alignment matters.

  • You want generated drafts to carry your corporate narrative automatically.

Hold back when:

  • Questions require purely factual or compliance-only answers.

  • Competing themes would dilute the message.

  • You are still experimenting with early-stage structure.

Writing themes that work

  • Keep them focused and outcome-driven rather than broad and aspirational.

  • Write guidance a drafter could follow, not a claim they would have to justify.

  • Use one primary theme per question or group of questions.

  • Avoid stacking several unless they genuinely complement each other.

  • Review generated content to check the theme reinforces the answer rather than overwhelming it.
