Uploading answers into the Q&A Store

Add completed answers back into the Q&A Store so every bid strengthens your reusable knowledge base for the next one.

Once your responses have been completed, reviewed, approved and exported, you can add them back into the Q&A Store.

This is what turns a finished bid into an asset. Every answer you store becomes source material BidBot can draw on for future tenders, so a library that is fed after each bid gets progressively stronger - and the drafts it produces get progressively closer to submission-ready.

Before you start

Two things must be true:

  • You have received the awardee notification.

  • The project's status is set to Won or Lost.

We also recommend completing the client feedback and post-mortem workflow first. It is not required, but it changes what gets stored.

An answer added after feedback has been assigned carries that feedback with it, so the Q&A Store holds the question, your answer, and how the answer actually scored. An answer added beforehand stores only the text. The first teaches BidBot what worked; the second only teaches it what you wrote.

Add answers to the Q&A Store

  1. Open the project.

  2. In the project's top navigation bar, select Outcome.

  3. In the Outcome Area, select the questions you want to add.

  4. Click Add to QA.

  5. Choose the library you want the answers saved to.

  6. Optionally, choose a specific folder within that library.

  7. Confirm.

Check they saved

Open the Q&A Store and search for one of the answers you just added.

Worth doing on the first upload of a bid rather than assuming — particularly if you selected a folder, since an answer saved to the wrong library is easy to miss and hard to find later.

Best practice

  • Add answers in one pass at the end of a bid, rather than question by question as you go.

  • Complete the feedback and post-mortem workflow first, so answers are stored with their outcomes.

  • Choose the library that matches the line of business the answer relates to — the wrong library means BidBot grounds future drafts in the wrong offering.

  • Add answers from lost bids too. A revised answer that addresses an evaluator's criticism is often more valuable than one that merely won.
