Working with views, filters and saved views

The tools shared by the Projects, Tasks and Questions aggregate views — list and board layouts, filtering, display options, and saved views.

The Projects, Tasks and Questions aggregate views are all built from the same set of tools. This article explains how those tools work. Once you have learned them in one view, they behave identically in the other two.

List view and board view

Every aggregate view offers two layouts.

List view

A structured, spreadsheet-style layout. Best when you want precision, sorting, and a lot of information on screen at once — scanning or triaging large numbers of records.

Board view

Cards grouped into columns by status. Best when you want to see progress at a glance and move work between stages.

Switch between the two using the Display dropdown at the top of the view.

Move a card between columns

In board view, drag a card from one column and drop it into another.

The record's status updates immediately to match the column you dropped it into, and the change applies everywhere that record appears. For example, dragging a question from In Progress to In Review updates its workflow stage inside its project as well.

Filter the view

Filters narrow the records on screen down to the ones you care about. You can apply several at once, and they combine — a view filtered by both status and assignee shows only records matching both.

Apply a filter

  1. At the top of the view, click Filter. A dropdown opens listing the filters available for that view.

  2. Choose a filter and set its value.

The view updates immediately, and the filter appears as a removable tag across the top of the page.

To add another filter once you have one applied, click the + button next to the existing filter tags.

Clear filters

  • To remove one filter, click the X on its tag.

  • To remove all filters at once, click Clear All. The view returns to showing every record.

  • Some views also offer Clear Dropdown Filters inside the filter dropdown itself, which clears only the filters set there.

Change how records are displayed

The Display dropdown controls the layout and ordering of the view. From it you can:

  • Switch between list view and board view.

  • Change the field records are ordered by. The available fields differ by view and are listed in each view's own article.

  • Turn Show Empty Columns on or off in board view. Leaving it on keeps every column visible even when it contains no records, so the full pipeline stays in view.

Saved views

A saved view stores a combination of filters and display settings so you can return to it in one click, instead of rebuilding the same filters each time.

Each saved view remembers:

  • The filters you applied.

  • The layout and ordering.

  • Whether empty board columns are shown.

Edit a saved view

  1. Hover over the saved view's name.

  2. Click the pencil icon that appears.

  3. Make your changes and save.

Return to the full list

To leave a saved view and see every record again, click the default view at the start of the list — All Projects, All Tasks or All Questions, depending on which area you are in.
