Creating and managing opportunities

Create an opportunity, upload its tender documents, build an analysis board, and share or export the result for colleagues to review.

Bid Analysis is the start of your bidding pipeline, so what goes in here shapes everything downstream. This article covers creating an opportunity, getting its documents in, and getting the resulting board in front of the people who need to see it.

Create an opportunity

  1. Go to Bid Analysis.

  2. Click New Opportunity, or the + icon.

  3. Enter the opportunity name and client name.

  4. Upload the tender documents.

The opportunity card appears in the left-hand sidebar of the Analysis page.

You can also create an opportunity from an existing project, in which case its tender documents are pulled through automatically and you can skip the upload step.

Upload tender documents

  1. Go to Tender Documents.

  2. Click + Add Docs.

  3. Upload your files.

The documents appear in the Tender Documents tab.

Uploaded documents then go through processing. Wait for indexing to finish before building a board — components created against a part-processed pack may come back empty, which looks like a broken component rather than a timing problem.

Create an analysis board

Once the opportunity exists and its documents are indexed, you can build a board.

  1. Click Get Started or + New Board.

  2. Choose how to build it.

From a template

Browse your saved templates and pick one. The fastest route once your team has established its criteria. See Saving and reusing analysis templates.

Let BidBot build it

Have BidBot construct the board, including from your organisation's existing go/no-go criteria. See BidBot in Bid Analysis.

From scratch

Name the board, open it, and drag components onto the blank canvas yourself.

On your first opportunity you will have no templates to draw on, so this is where Let BidBot build it earns its place — particularly if your criteria already exist in a spreadsheet or document.

Share a board

Boards can be shared with anyone in your organisation, including colleagues without a BidScript licence — which is the point, since finance, legal and operations often need to see the analysis without ever logging in.

  1. Open the board.

  2. Click the icon next to it.

  3. Click Share.

  4. Turn on the public link.

  5. Copy the link that is generated.

Export a board as a PDF

  1. Open the board.

  2. Click the icon.

  3. Click Export as PDF.

The PDF downloads through your browser.

Expand every component before you export

Set all components to their maximum size, with all content visible, before exporting.

A PDF is not interactive. Anything that would normally be reached by scrolling inside a component is simply cut off, and the recipient has no way of knowing something is missing. This is the single most common problem with exported boards — an executive summary that stops mid-sentence, or a risk register showing three of nine rows.
