The Workspace tab is where you manage all of the tender documents for a project. It is the central place to upload, organise, review and classify the documents that make up a tender pack.
Where to find it
In the left-hand sidebar, under Workspace, click Projects.
Click the opportunity card for your project.
Open the Workspace tab.
How a document moves through the workspace
Every document follows the same path. Knowing the sequence helps you understand why a document may not yet be ready to work with.
1. Upload | You add the tender files to the project. See Uploading files. |
2. Indexing | BidScript processes each file so its content can be searched and read. |
3. Classification | Each document is automatically assigned one of three categories. See Document classifications. |
4. Section breakdown | Response documents are broken down section by section, and each section is categorised. See Section classification in response documents. |
5. Question extraction | Questions are pulled out of the response sections. See BidBot question extraction. |
Track indexing progress
Files begin indexing as soon as they finish uploading. During indexing a document may look as though it is ready to use, but it is still being prepared.
An indexing percentage is displayed in the top-right of the screen while processing runs. When it reaches 100% the indicator disappears, and BidScript applies an initial classification to every document.
Wait for the indicator to disappear before extracting questions. Extracting from a part-indexed document risks missing content.
Manage a single document
In the document's row, click the ⋯ icon on the far right.
Choose an action.
Edit | Rename the document. |
Change category | Reassign it to a different classification: Response Document, Appendix or Other. |
Delete | Remove the document from the workspace. |
Download | Save a copy of the document. |
Manage several documents at once
All four actions above can be applied in bulk.
Select the documents you want to change. You can select them individually, select a whole section, or select all.
Choose the action to apply.
The action is applied to every document in your selection at the same time.
Organise documents into folders
Folders let you group documents by theme, section or workstream.
In the Workspace tab, click the + icon.
Select Create a Folder.
Enter a name for the folder.
Move the relevant documents into it.
